AI for payroll bureaus: clean inputs and anomalies caught before the pay run

AI for payroll bureaus is a custom tool that collects timesheets and pay changes from client companies into one format, cross-checks the data and flags anomalies before the pay run, and answers routine employee questions. It doesn't calculate pay, which stays in your payroll software. We are AI per Aziende, an Italian studio, and we build it for bureaus and teams that process payroll for clients. You start with a free intro call.

Where the day goes

  • Payroll inputs arrive in ten different formats

One client sends a spreadsheet, another a photo of a timesheet, a third writes on WhatsApp that Mark did six hours of overtime. Before any processing starts, you spend days retyping and working out what the client meant.

  • The last days before cut-off are a scramble

Inputs all land at once near the deadline, some missing, some needing correction. Payslips have to go out on time, and the small mistake, a sick day not recorded or an extra hour, slips through in the rush.

  • Mistakes surface after payday

The employee opens the payslip, the net pay looks wrong, they call their employer who calls you. Re-running a payslip costs more time than checking it first, but nobody checks hundreds of payslips line by line.

  • Payslip questions end up on your desk

Why is my pay lower this month? What's this deduction? When do I get my bonus? Your clients' employees ask, and every answer interrupts whoever is closing the payroll.

What the AI actually does

Payroll inputs gathered into one format

Clients send hours and pay changes the way they always have: files, photos, messages. The AI reads them, maps them to your bureau's template and flags anything it didn't understand instead of guessing.

Example
On the 27th a client messages: Smith on holiday 12 to 16, Jones three hours' leave on the 20th, Brown off sick since Monday. Ten minutes later the three lines are in the month's sheet, with a note that Brown's sick note reference is missing.

Reminders to clients who haven't sent inputs

The tool knows which clients still owe their inputs and drafts reminders listing what's missing. You approve them and see who has replied, without keeping track in your head.

Example
On the 25th, nine clients still haven't sent hours. You approve nine ready reminders at 9 am; by the afternoon the list shows six complete and three to phone.

Anomaly checks before the pay run

Before cut-off the AI compares hours, pay changes and last month's figures and flags what deserves a look: absences without a reason, unusual overtime, days that don't add up. Final review and sign-off stay with you.

Example
On cut-off morning you find six flags waiting for you: one employee with 40 hours' overtime against a usual 5, two absences with no reason code, a part-timer with more days than contracted. You review them in half an hour, before any client calls.

Employee payslip questions answered

The assistant explains common payslip items using wording your bureau writes, in plain language. If the question is about a specific payslip, it doesn't guess: it passes it to the right person with name, employer and month attached.

Example
An employee asks on WhatsApp what a pension deduction line means and gets your bureau's explanation. Another asks why March's net pay is lower: that question goes to the payroll officer for that client, with the context ready.

A month-end summary for each client

When processing is done, the AI drafts a summary for each client: employees processed, main absences, points to flag. You approve it and send it with the reports.

Example
Instead of writing 40 covering emails by hand, you open 40 drafts already noting each client's specifics, like a new starter this month or someone starting parental leave. You fix two sentences and approve.

The custom step your bureau is missing

If there's a point in your process no software covers, such as a special check or a big client's odd format, we build it. Your current workflow is the starting point.

Example
A client with three sites sends hours in three different spreadsheets. We build the step that merges and checks them, so your payroll officer gets one clean sheet every month.

How we get started

Three steps, and the first one is a no-strings conversation.

  1. 1

    Free intro call

Half an hour online walking through a typical month together: how inputs arrive, where time goes, where errors start. By the end you'll know whether AI helps and where.

  2. 2

A prototype on a real month

We take real files and messages from a few clients, anonymised where needed, and build a first version. You run it on one payroll cycle before deciding. Scope, price and timing for the prototype are fixed in the quote we send after the call.

  3. 3

    Part of your monthly cycle

The tool joins your monthly process, we adjust it on the cases that come up, and we keep it current. Every message to clients and employees waits for a payroll officer's approval.

Why AI per Aziende

A person signs off every payroll

The AI gathers, compares and flags. Pay calculation stays in your payroll software and review stays with your team: nothing goes out without approval.

Custom software is what we do

Management tools, WhatsApp and Telegram bots, software that works on your data: that's the work clients already pay us for. On top of that, a number of our own industry platforms are online.

Payroll data stays yours

Hours and employee details are used only by your tool and never to train other models. The code and instructions stay with your bureau, even if you change provider later.

Frequently asked questions

Can AI run payroll on its own?

Pay calculation belongs in payroll software, and rightly so: it follows contracts, tables and rules that must be exact. AI is useful before and after the calculation, collecting hours and pay changes, putting them in order, flagging anomalies worth checking and answering routine questions. AI per Aziende builds those steps around how your bureau works.

How can a payroll bureau reduce payroll errors?

Most errors start with the inputs: a sick day nobody reported, an hour logged wrong, a spreadsheet read in a hurry. An automated check before cut-off compares hours and pay changes with previous months and shows you only the odd cases. You review those instead of rechecking everything, and sign-off stays with you.

Will it work with our existing payroll software?

It doesn't replace it, and a direct link into payroll packages isn't something we offer today. The tool delivers hours and pay changes as a clean file in a format your team can import or copy across, and works from the reports and exports your software already produces. We look at your specific setup on the call.

Can the assistant answer employees' payslip questions?

It answers general questions, such as what common payslip items mean, using explanations your bureau writes. Questions about a specific payslip, like net pay that looks different from usual, it doesn't handle alone: it passes them to a payroll officer with the name, employer and month, so the answer comes from someone who knows the case.

How much does AI cost for a payroll bureau?

It depends on what you need: collecting inputs from a handful of clients is a different project from a checking and reminder system for hundreds of them. So there's no fixed price list. On the free intro call we look at your volume and your process, then you get a clear price before work begins.

Is employee data kept safe?

We use only the data your payroll process needs, and only to run your tool: it's never used to train other models. The prototype can run on anonymised data. The code and instructions remain yours even if you stop working with us, and no message is sent without a payroll officer's approval.

How quickly can we use it on a live payroll?

Once the call is done, you get a quote with the scope, price and timing of a prototype built on your real files. You run it through one full monthly cycle before deciding, and that first month is also when we fix the cases that come up. Input collection is the quickest part to start, while custom checks take a little more work.
